Email

Students

  • Every student receives a global user ID and password with the matriculation documents and these are also to be used for the email account.
  • The email address is formed as follows: forename.surname@student.hswt.de
  • Passwords are case-sensitive.
  • The mailbox has a storage capacity of 1 GB. To save on the limited amount of storage space, the mailbox should therefore be regularly cleaned up by deleting emails and attachments.
  • The email account will be deactivated four weeks after de-registration (date of de-registration shown on the de-registration certificate) and deleted after six months without further notification.
  • Caution: It is compulsory to use the HSWT address when communicating with persons and bodies of the university. Emails with private sender addresses will not be processed.

Staff

  • Every member of staff receives a global user ID and password from his or her IT supervisor after being appointed and these are also to be used for the email account.
  • The email address is formed as follows: forename.surname@hswt.de
  • Passwords are case-sensitive.
  • The mailbox has a storage capacity of 3 GB. To save on the limited amount of storage space, the mailbox should therefore be regularly cleaned up by deleting emails and attachments.
  • A maximum of 250 emails can be sent within a 24-hour time period.
  • The email account will be deactivated on leaving and deleted without further notification.

Using email

There are several different ways of accessing your mailbox.

Outlook Web Access (OWA)

You can access your mailbox via any currently available web-browser by using OWA Webmail Client. It can be launched from the following address: 

Enter your user ID and associated password, taking special care over capitalisation. You will then be able to access your mailbox.

Clients on private workstations or mobile devices

Outlook

  • Add your email account.
  • Enter your name and email address.
  • Allow autoconfiguration by clicking on Allow.
  • Enter your username with the domain ads in the form ads\username.
  • Enter the correct password.
  • Once autoconfiguration is complete, end this process by clicking on Finish.

Exchange Clients

  • Add account
  • Select account type Exchange
  • Enter email address and password
  • Server settings
  • Domain/username: Enter email address
  • Server: xmail.mwn.de
  • Port: 443, SSL/TLS, normal password.

IMAP Clients

  • Create an IMAP account.
  • Enter your first name, surname and email address.
  • Incoming mail server: xmail.mwn.de
  • Port: 993, SSL/TLS, normal password.
  • Outgoing mail server: postout.lrz.de; port: 587, STARTTLS, normal password.
  • Username for incoming and outgoing mail server: your own username.

Smartphones

On iOS devices and Windows phones, set up is possible without the need for external applications. One of the following apps are recommended for Android users:

  • FairEmail
  • GMail

The Outlook app is not accepted by the LRZ for data protection reasons.

Calender

University users have access to a centralised calendar server featuring both personal and group calendars. The calendars can be used as a browser-based service or in various calendar programs.

Using group calendars

Creating a calendar in OWA

  • After logging on to OWA, select the menu symbol on the top left and switch to the calendar view.
  • In the menu, select ‘Add calendar’ and click on ‘Secondary calendar’.
  • A text input field will appear on the left-hand side underneath your calendar. Here, you can enter a name for the newly created calendar.
  • Once you have entered a name, the calendar is ready for use.

Sharing a calendar in OWA

  • Right-click on the calendar you wish to share and select ‘Sharing permissions’ in the menu.
  • In the ‘Share with’ field, enter the surname or username of the person with whom you wish to share the calendar and select ‘Search Directory’.
  • The person will be added under the field. Use the selection box on the right to set the permission level.
    • Full details: read-only access to the calendar
    • Editor: read/write access to the calendar (make, amend and delete entries).
  • To complete the sharing process and to send an email notification to the person in question, confirm the data you have entered above by clicking ‘Send’.

Adding a shared calendar to OWA

  • After logging on to OWA, you should see an email in your inbox notifying you of the shared calendar.
  • Open the email and confirm the invitation by clicking on ‘Accept’.
  • OWA automatically adds the calendar under ‘Other calendars’ and switches to the calendar view.
  • The calendar is available immediately.

    Adding a lecture timetable/examination timetable

    • Open up the lecture timetable/examination timetable for your degree programme.
      The menu item ‘View menu’ at the top right of the page gives you the opportunity to subscribe to the lecture timetable.
      Select ‘Subscribe’ and choose the length of time for which you wish to subscribe to the timetable. Copy the resulting link address to the clipboard.
    • Start your calendar program and switch to the calendar view. Create a new calendar on the network (or a public or internet calendar, depending on the program you are using). Specify the iCalendar (ICS) format and copy the link that you had previously saved to the clipboard into the address field.
    • Give it any name you like and save the calendar. The appointments are stored.
